Define the decision criteria
Document departure point, travel time, likely dates, participant count, hotel needs, venue type, transportation model, and weather dependence. Check whether the destination format changes campus or organization approval requirements.
- Compare total travel time and complexity.
- Identify venue, lodging, and transport options that can work together.
- List information still requiring provider confirmation.
Keep the shortlist evidence-based
For each candidate, record who provided a quote, what it covers, when it was checked, and what would invalidate it. Avoid unsupported claims that a destination is “best” or that a vendor can accommodate your event until the provider confirms.
Check authority before the city
The event chair should identify which chapter, campus, and national-organization requirements apply to an off-campus or overnight formal before anyone accepts a deposit. Record the reviewer, the document or office consulted, and the date. Different destination formats may change travel, lodging, or transportation requirements, so approval status belongs in the comparison rather than in a later footnote.
Build a dependency map for each candidate
A workable plan needs the venue, hotel if applicable, transport, staffing, budget, and approval path to fit the same dates and headcount. Keep a row for each dependency with confirmed in writing, quote requested, or unresolved. A promising venue does not make a destination viable if the return trip or required approval is still unknown.
Prepare a decision memo
For each finalist, record the scope of every quote, source, date, expiration, deposit, cancellation terms, authorized reviewer, and unresolved risk. State the reason for selecting or rejecting it. This short record gives the treasurer and next officer a defensible handoff instead of a folder of unrelated emails.
